Overview
An independent consultancy engagement with a UK early years education provider yielded a digital scheduling platform. The solution combined a Flutter mobile app, a .NET API hosted on Azure, and AI driven auto-scheduling to protect EYFS compliance while reducing manual workload and enabling staff self-service, plus a marketing website to support the client’s digital presence.
Problem
Management teams faced significant inefficiencies: rotas were created manually to meet EYFS staffing ratios, requiring several days of effort each month. Absences for sickness and holidays demanded frequent adjustments, which were time-consuming and risked non-compliance. The sector’s complexity—specific ratios by room and age group—made rule-based scheduling essential. Security and data protection for sensitive child and staff data were non-negotiable, and the solution had to align with Apple and Android platform guidelines.
Solution
We delivered a Flutter mobile app for staff to manage availability, sickness and holiday requests; AI-driven scheduling algorithms to allocate staff against child bookings; workflows for holiday approval and automatic rota adjustments; a .NET API in Azure for scalability, reliability and secure data handling; and a marketing website to support the client’s digital presence.
Impact
The platform reduced management time spent on scheduling by several days per month; delivered EYFS compliance through AI-driven scheduling; improved staff satisfaction with mobile self-service for sickness and leave; and enabled real-time rota adjustments to maintain operational continuity during disruptions.
